Is “ACME Ltd” also “Acme Limited”?
Drop in your business partner or item list and see every likely duplicate — typos, Ltd vs Limited, words in a different order, the same VAT number or barcode under two codes. Your file never leaves your computer.

Notes & method
How does the matching work?
- Normalising: names are lower-cased, accents and punctuation removed, “&” and “and” dropped, legal forms (Ltd, Limited, plc, GmbH…) ignored for business partners, and units joined up (4 kW → 4kw, M10 x 50 → m10x50).
- Same name: identical after normalising. Same words, different order: the same words, shuffled.
- Similar names: Levenshtein edit distance — the number of single-letter insertions, deletions, substitutions or swaps needed to turn one name into the other — as a percentage of the longer name. Balanced matching needs 88% (75% if the postcode or preferred vendor also matches).
- Word check: every word must have a close partner in the other name, so “Ball Valve” never matches “Gate Valve” and “Calder Valves North” never matches “South”, however similar the letters. Names that contain different numbers are never matched on the name alone.
- Identifiers: the same VAT number, email, phone (last 9 digits), barcode or supplier catalogue number is a match on its own.
- Groups: if A matches B and B matches C, all three are one group. Very likely = same name or identifier, or names 95%+ similar.

Getting your list out of SAP Business One
Any list with a code and a name column works. The more identifying columns, the sharper the matching.
Customers, suppliers and leads
Tools → Queries → Query Generator
SELECT T0.CardCode, T0.CardName, T0.CardType,
T0.LicTradNum, T0.E_Mail, T0.Phone1,
T0.ZipCode, T0.City
FROM OCRD T0
WHERE T0.frozenFor = 'N'
Columns used: code, name (required), type, VAT / tax number, email, phone, postcode, city.
Item master data
Tools → Queries → Query Generator
SELECT T0.ItemCode, T0.ItemName, T0.CodeBars,
T0.SuppCatNum, T0.ItmsGrpCod, T0.CardCode
FROM OITM T0
WHERE T0.frozenFor = 'N'
Columns used: item code, description (required), barcode, supplier catalogue number, item group, preferred vendor.
Run the query, then export the result with the Excel icon
on the toolbar. Remove the WHERE line to include
inactive records too. Already have a list report you like? Any
export with a code and a name column works — columns are
recognised automatically or can be mapped by hand.
Two records, twice the mess
Split history
Sales, purchases and balances are spread across two codes, so credit limits, ageing and customer profitability are wrong on both.
Duplicate stock
The same part under two item codes means two reorder points, stock nobody finds, and reports that say you're out when you aren't.
Payments to the wrong card
Supplier invoices booked against the old record, duplicate payments, and bank details out of date.
Messy migrations
Moving to a new ERP or upgrading? Cleaning master data first is the cheapest step of the whole project.
Your customer and supplier list never leaves your computer.
Duplicate Finder is a web page, not a service. The matching runs in your browser, on your machine.
- The file is opened by your browser — there is no upload endpoint and nothing is stored.
- The page's security policy only allows it to talk to its own site and to anonymous page analytics.
- Analytics record page views and button clicks only — never names, codes or file contents.
- When a check runs, the page tells our own site only that it happened — sample or your file, partners or items. Nothing else.
- Open your browser's developer tools and select the Network tab.
- Drop your file and find duplicates.
- You'll see one small "event" request to spanmind.com saying a check ran — and no request carrying your data.

Questions, answered
Is my business partner or item list uploaded anywhere?
No. The file is read and compared by JavaScript inside your own browser. There is no upload endpoint, and the page's security policy blocks sending data to any other server. You can confirm it in your browser's Network tab.
How does the duplicate matching work?
Names are normalised (case, punctuation, accents, Ltd/Limited/plc, units like 4 kW) and compared with Levenshtein edit distance, word by word and in any word order. Exact matches on VAT number, email, phone, barcode or supplier catalogue number count as strong evidence. Names that differ by a number, like M10x50 and M10x60, are never matched on the name alone.
How big a list can it handle?
Tens of thousands of records in a few seconds. Records are only compared when they share an uncommon word or the same first letters, so it doesn't compare every record with every other.
Does it change anything in SAP Business One?
No. It only reads an export. You get the groups, the reasons and a CSV; merging or deactivating records is done by you in SAP Business One.
Does it work with other ERPs?
Yes — any customer, supplier or item list with a name column works, from any system. The column names from SAP Business One are simply recognised automatically.
Is it really free?
Yes — free, with no sign-up. If you'd like help cleaning up, request a free review.
